Indeed: From Fragmented Workflows to an Intelligent Global Digital Asset Management with Cyber64

CHALLENGE

As the world’s #1 job site, Indeed manages a vast volume of creative assets across global markets that spans from campaign visuals and employer-brand videos to localized brand materials.

Over time, the company’s Adobe Experience Manager (AEM) instance had grown complex.
Teams used multiple folders to manage content, resulting in:
· Duplicated assets across environments
· Failed or outdated workflows
· Difficult onboarding for new users
· Storage waste and inconsistent metadata

The lack of a single, structured process slowed campaign delivery and made it difficult to maintain consistency across global teams. What started as a local operations issue grew into a scalability challenge - making asset management a bottleneck rather than an enabler.
Indeed’s journey shows how enterprise teams can modernize their Digital Asset Management (DAM) by simplifying, connecting, and measuring what matters. They needed a partner who could modernize their AEM instance without disrupting daily creative work.

SOLUTION

Cyber64 partnered with Indeed’s Creative Operations and IT teams to deliver a five-phase transformation program built around AEM and Adobe Brand Portal. Each milestone addressed a specific step in the content supply chain; from governance to automation to insights.

Foundation and Governance

The first phase defined clear ownership, rules, and structure.
Cyber64 documented points of contact, standardized shared-service rules, and eliminated redundant “WIP” folders.
Brand Portal was introduced as the single source of truth for finalized assets, supported by best-practice documentation and controlled publication and deletion policies.

Connected Workflows

Next, Cyber64 re-engineered how assets move through AEM.
A new custom synchronization workflow replaced the redundant processes, ensuring stable publishing from AEM to Brand Portal.
Duplication was removed, workflows cleaned, and publishing agents configured for automated transfer.

Metadata and Search Optimization

To speed up production and retrieval, metadata fields were audited, consolidated, and grouped into two specific tabs.
Redundant metadata tabs and fields were removed, and logic-based metadata automation was added.
A Figma proof-of-concept connected creative reviews directly to AEM.

Omnichannel Activation

Cyber64 enabled end-to-end creative-to-market delivery by:

  • Introducing automation where appropriate.
  • Replacing rigid fields with flexible tagging and AI-driven Smart Tags
  • Fully operationalizing Brand Portal with quick, scheduled, and automatic publishing options

Designers and marketers could now create and distribute assets globally; all within a governed AEM environment that connects the entire content supply chain end-to-end.

Reporting and Insights

Finally, Cyber64 introduced reporting and analytics to turn AEM into an insight-driven platform.
Custom and scheduled reports track uploads, downloads, modifications, and publishing trends.
A centralized Insights Dashboard monitors repository health, adoption, and usage.

RESULTS

Through its five-phase transformation, Indeed gained a connected, intelligent digital asset ecosystem that scales with its global creative operations.
· 50% reduction in duplicate assets, freeing up storage and simplifying search
· Producers save 25% of weekly time previously spent searching or granting access to partners
· Faster campaign delivery, with improved managing and publishing workflows
· Improved governance and data hygiene through controlled metadata and deletion rules
· Simplified onboarding for new creative users
· Full visibility into content usage and adoption via live reporting
AEM evolved from a static repository into a scalable, compliant Digital Asset Management (DAM) and Brand Portal ecosystem ready for global expansion.

The Bigger Picture

Indeed’s journey shows how enterprise teams can modernize their creative operations by simplifying, connecting, and measuring what matters.
With a structured foundation, intelligent workflows, and measurable insights, Indeed now runs a Digital Asset Management (DAM) that scales with its global brand - from creation to activation to intelligence.

"

Brandi Johnson, Sr. Creative Operations Manager @ Indeed

Since implementing the new AEM setup and launching Brand Portal, we’ve seen a major reduction in the time our teams spend searching for assets or providing access to partners.

Producers are saving roughly 25% of their weekly time, and final file delivery is noticeably faster. Having all assets in one central place — with clean metadata, transparent structure, and reliable access — has been a big win for Indeed. We can now point vendors and marketing partners to AEM or Brand Portal and trust they’ll find exactly what they need, when they need it.”
